  • Never be too verbose. Your words do not have to be too complicated because, if you are indeed a news report writer, you should never ever make it as a medium for you to showcase your wide vocabulary or your excellent command of the English language. When writing news reports, you have to be direct without compromising the quality and the relevant information. You have to make sure that you have chosen your words and construct your sentences properly so you will be able you construct a news story that is concise and brief but still informative.
  • Maintain only less than 25 words when constructing your sentences and also make sure that you keep and contain only a single idea all throughout your sentence. Anything more will always be considered as too wordy and it will always be an extra effort to the readers of the general public.
  • Just use a simple subject-verb-object form. Do not complicate things. News just have to be simple.
  • Never use a lot of commas. Again, keep things simple. Break down unnecessary compound or complex sentences into different sets of sentences.
  • Do not repeat the same information in succeeding paragraphs. In each of the paragraph that you create, always introduce a new information that will aid or support the initial information mentioned in the preceding paragraph.
  • Having more than three prepositional phrases into a single sentence is never ideal.
  • Putting more than three numbers in a single sentence does not look good and convenient for the readers. If the numbers are important, you can have it on a tabular form or in a list form. This can help in making your news report convenient and comfortable to read.
  • Keep in mind that writing a news report is all about the people you are writing about and the people, the general public, you are writing for—it will never be about a written piece about you as a writer or writing for your personal interest. So this means that you should make sure that you have focused on one or more of the affected individuals.
  • When writing a news story, always make sure that you have an angle and a perfect angle at that. Make sure that the angle you have chosen gives an opportunity for all the sides of the story to be heard and not just one side or else you are considered as bias and your credibility will be questioned.
  • Do not be afraid to have an angle for the fear that you will be considered as biased. Keeping an angle to your new story is a standard technique and it is not necessarily bad since this highlights the purpose and the main focus of your news story.
  • Always keep it objective and, obviously, never subjective. Always be nonpartisan. As mentioned above, you just have to make sure that you have tried to cover all sides of the story and never just one or two. For example, there was a road accident wherein a car crashed into a motorcycle. Do not only take into account the statements of the driver of the car and the driver of the motorcycle—you also have to get the statement of the traffic enforcers, the police who responded to the incident, and yes, including the onlookers or the ones who were able to witness the incident.
  • Speaking of getting a statement, always make sure that you will be able to directly quote the people’s statement. Do not add anything just to make your story more interesting because you are not anymore writing a news story but you are already writing fiction. If you fear that you will not be able to catch on what your interviewee had said, make sure you record whatever he or she says.
  • Speaking of interviews, if it is a scheduled or planned, phone call or face-to-face interview, you have to make sure that you have asked permission that you will are to record your interview with that person as there are some countries who would consider recording any kind of conversation or interview as illegal.
  • You are writing a news story and not a feature story so this means that you should not get flowery when it comes to describing a newsworthy event. Just write what happened. Write it as it is and do not any more try writing in a heavily descriptive language as it is not really necessary.

In technical terms, the definition of a report is pretty vague: any account, spoken or written, of the matters concerning a particular topic. This could refer to anything from a courtroom testimony to a grade schooler’s book report .

If you’re familiar with how to write a research paper , you’ll notice that report writing follows the same introduction-body-conclusion structure, sometimes adding an executive summary. Reports usually have their own additional requirements as well, such as title pages and tables of content, which we explain in the next section. 

There are no firm requirements for what’s included in a report. Every school, company, laboratory, task manager, and teacher can make their own format, depending on their unique needs. In general, though, be on the lookout for these particular requirements—they tend to crop up a lot: 

  • Title page: Official reports often use a title page to keep things organized; if a person has to read multiple reports, title pages make them easier to keep track of. 
  • Table of contents: Just like in books, the table of contents helps readers go directly to the section they’re interested in, allowing for faster browsing. 
  • Page numbering: A common courtesy if you’re writing a longer report, page numbering makes sure the pages are in order in the case of mix-ups or misprints.
  • Headings and subheadings: Reports are typically broken up into sections, divided by headings and subheadings, to facilitate browsing and scanning. 
  • Citations: If you’re citing information from another source, the citations guidelines tell you the recommended format.
  • Works cited page: A bibliography at the end of the report lists credits and the legal information for the other sources you got information from. 

As always, refer to the assignment for the specific guidelines on each of these. The people who read the report should tell you which style guides or formatting they require. 

Now let’s get into the specifics of how to write a report. Follow the seven steps on report writing below to take you from an idea to a completed paper. 

1 Choose a topic based on the assignment

Before you start writing, you need to pick the topic of your report. Often, the topic is assigned for you, as with most business reports, or predetermined by the nature of your work, as with scientific reports. If that’s the case, you can ignore this step and move on. 

If you’re in charge of choosing your own topic, as with a lot of academic reports, then this is one of the most important steps in the whole writing process. Try to pick a topic that fits these two criteria: 

  • There’s adequate information: Choose a topic that’s not too general but not too specific, with enough information to fill your report without padding, but not too much that you can’t cover everything. 
  • It’s something you’re interested in: Although this isn’t a strict requirement, it does help the quality of a report if you’re engaged by the subject matter. 

Of course, don’t forget the instructions of the assignment, including length, so keep those in the back of your head when deciding. 

2 Conduct research

With business and scientific reports, the research is usually your own or provided by the company—although there’s still plenty of digging for external sources in both. 

For academic papers, you’re largely on your own for research, unless you’re required to use class materials. That’s one of the reasons why choosing the right topic is so crucial; you won’t go far if the topic you picked doesn’t have enough available research. 

The key is to search only for reputable sources: official documents, other reports, research papers, case studies, books from respected authors, etc. Feel free to use research cited in other similar reports. You can often find a lot of information online through search engines, but a quick trip to the library can also help in a pinch. 

3 Write a thesis statement

Before you go any further, write a thesis statement to help you conceptualize the main theme of your report. Just like the topic sentence of a paragraph, the thesis statement summarizes the main point of your writing, in this case, the report. 

Once you’ve collected enough research, you should notice some trends and patterns in the information. If these patterns all infer or lead up to a bigger, overarching point, that’s your thesis statement. 

For example, if you were writing a report on the wages of fast-food employees, your thesis might be something like, “Although wages used to be commensurate with living expenses, after years of stagnation they are no longer adequate.” From there, the rest of your report will elaborate on that thesis, with ample evidence and supporting arguments. 

It’s good to include your thesis statement in both the executive summary and introduction of your report, but you still want to figure it out early so you know which direction to go when you work on your outline next. 

4 Prepare an outline

Writing an outline is recommended for all kinds of writing, but it’s especially useful for reports given their emphasis on organization. Because reports are often separated by headings and subheadings, a solid outline makes sure you stay on track while writing without missing anything. 

Really, you should start thinking about your outline during the research phase, when you start to notice patterns and trends. If you’re stuck, try making a list of all the key points, details, and evidence you want to mention. See if you can fit them into general and specific categories, which you can turn into headings and subheadings respectively. 

5 Write a rough draft

Actually writing the rough draft , or first draft, is usually the most time-consuming step. Here’s where you take all the information from your research and put it into words. To avoid getting overwhelmed, simply follow your outline step by step to make sure you don’t accidentally leave out anything. 

Don’t be afraid to make mistakes; that’s the number one rule for writing a rough draft. Expecting your first draft to be perfect adds a lot of pressure. Instead, write in a natural and relaxed way, and worry about the specific details like word choice and correcting mistakes later. That’s what the last two steps are for, anyway. 

6 Revise and edit your report

Once your rough draft is finished, it’s time to go back and start fixing the mistakes you ignored the first time around. (Before you dive right back in, though, it helps to sleep on it to start editing fresh, or at least take a small break to unwind from writing the rough draft.) 

We recommend first rereading your report for any major issues, such as cutting or moving around entire sentences and paragraphs. Sometimes you’ll find your data doesn’t line up, or that you misinterpreted a key piece of evidence. This is the right time to fix the “big picture” mistakes and rewrite any longer sections as needed.

7 Proofread and check for mistakes

Last, it pays to go over your report one final time, just to optimize your wording and check for grammatical or spelling mistakes. In the previous step you checked for “big picture” mistakes, but here you’re looking for specific, even nitpicky problems.

A news report is similar to a news article. It is the basic facts of a story that is currently happening or that just happened. Writing a news report is easy if you report on the subject clearly, conduct good interviews, and write in a style that is clear, concise, and active.

Collecting Information for the Report

Step 1 Figure out what to write about.

  • Ask around for story ideas, especially government officials and public relations representatives. [1] X Research source
  • Scan the news to see what is already happening. This could lead to you finding other story ideas that are related.
  • Search your city or county's website or directory for local events that are coming up.
  • Attend city council meetings to find out if there are any local issues happening in your area.
  • Sit in on trials at the courthouse and see if anything interesting happens that you could report on.

Step 2 Go to the scene.

  • Write down everything you see and everything that takes place.
  • Record and take notes of any speeches that occur at events. Make sure to get the names of the speakers.

Step 3 Conduct interviews.

  • If the story is controversial or political, make sure to get both sides of the issue.
  • Prepare sample questions, but don't necessarily stick to them. [2] X Research source

  • Record the interview.
  • Make sure to get the full names (spelled correctly) of anyone you interviewed.

Step 4 Transcribe the interviews and speeches.

  • Make sure you review your transcriptions to make sure they're accurate. You don't want to misquote someone.

Step 5 Do research on the subject.

Writing the News Report

Step 1 Write a headline.

  • The headline should be attention grabbing, but not exaggerate or mislead.
  • Capitalize the first word of the headline and any proper nouns after that.
  • If you're having trouble coming up with a headline, you might try writing it last instead. It may be easier to think of a headline after you've finished your article.
  • For example, your headline might read: "Armed robbery at Portland farmer's market"

Step 2 Write a byline and place line.

  • An example of a byline: Sue Smith, Staff Reporter

Step 3 Use a hard news lead.

  • Don't include people's names in the lead (save that information for later), unless everyone knows who they are (i.e. President Obama).
  • For example: A Seattle man was caught selling stolen cars at his auto shop on Tuesday when a police officer posed as a customer.

Step 4 Write the body of your report.

  • For example: Mary Quibble has been the director of the children's theater for six years. “I love the children and how much they care about these performances,” Quibble said. “There are 76 kids in the programs. They range in age from 7 to 16 years old.”

Step 6 Always include attributions.

  • For example: The woman ran out of the house at 11 p.m. when she heard the burglar enter, police said.

Step 7 Write in hard news style.

  • Speak in past tense when writing a news report.
  • Start a new paragraph whenever there is a new thought (this might mean you have paragraphs that are as short as a sentence or two)

Key features of a newspaper

  • Newspaper name

The name of the newspaper is always at the top of the page.

A headline is an eye-catching title for your story, which summarises the information in just a few words. Newspapers often use alliteration to make their headlines sound really interesting.

  • Short subtitle

The subtitle is a short title that gives more information about the report.

Pictures usually have captions beneath them to explain what is being shown.

  • Conclusion paragraph

The conclusion paragraph can explain what might happen next.

What writing style is used in newspaper articles?

The first paragraph should contain all of the 5Ws - what, where, when, who and why.

  • Clear paragraphs

Each paragraph should give more detail about the story and be presented in a clear way.

  • Direct and indirect/reported speech

Can be used to show the what other people have said about the story.

Facts or statistics can be used to support your points and avoid using your own opinion.

  • Formal language

Avoid chatty, friendly language in your report as it should be written to inform.

  • Third person

Newspaper reports are written in the third person using the names of those involved and pronouns such as ‘he’, ‘she’ or ‘they’.

The main part of the report should be written in the past as the event has already happened.

Starter/baseline assessment

Pupils spend five minutes reviewing their pyramid plan, to remind themselves of the order of information in their reports, while also referring to their original news report plans for detailed information.

As a class, recap the structural and language features of news reporting. How will you begin your news report? Which information will you include in the middle section? How many quotes will you include? How will you end your report? What do you need to remember about using paragraphs in news reports?

Learning activity

Pupils write the first draft of their news reports, using the planning sheets which they created in previous lessons.

Give pupils deadlines throughout the session to replicate the newsroom experience. You may wish to split the sections of the report into separate tasks with a deadline for each one, eg: 5W introduction; quotes and reported speech from interviews; additional research on the topic; final paragraph.

Refer back to the class News report toolkit, as well as the Model news reports and News reporting language word banks from lesson 11 to support pupils to write in an authentic news report style and structure.

Pupils share their news reports with a partner, providing feedback to each other based upon the following questions: which language features have they included in their news report? Have they begun their news report with a 5 W introduction? Have they included  interesting  information? Have they started a new paragraph for every new point? Is the news report  balanced ? Do you think it is a  truthful  and  fair  report? Why?

In this lesson, pupils write the first draft of their news reports (without the ‘page furniture’). 

Conduct the lesson as a writing lesson, in line with your usual practice. Remind pupils of the structural and language features of news reporting by referring to your class’s ‘news report toolkit’.

Eyewitnesses reported that the fire started in one of the shops due to an electrical short circuit and quickly spread to nearby establishments. Despite the immediate response from firefighters, the blaze proved challenging to control, as narrow streets hindered their access.

Local authorities and emergency services rushed to the scene, evacuating people from nearby buildings and providing medical assistance to those affected. Tragically, a few individuals sustained minor injuries in the process.

The fire caused extensive damage to properties, resulting in significant financial losses for business owners. The full extent of the damage is yet to be assessed.

Local people were seen helping the teams responsible for rescue and relief operations and they queued up to donate blood for the injured in Balasore. As a result, Local people became able to rescue 200-300 injured people A high-level committee has been declared to conduct an inquiry into the train accident. The Centre has announced an ex-gratia compensation of Rs 10 Lakh each to the kin of the deceased and Rs 2 Lakh to grievous and Rs 50,000 for minor injuries, Union Railways Minister Ashwini Vaishnav said.

Newspaper writing activity ideas for KS2

In my school, this KS2 newspaper report activity formed part of a ‘looking at information texts’ literacy project. The activity delivered great results. Children contributed imaginative language to stories that were both inventive and genuinely funny.

Preparing for the activity

Although many newspaper reports are not suitable for general reading at KS2, most local papers or specialist children’s newspapers contain plenty of suitable content.

Prior to this activity, look at some newspapers in detail and talk about their constituent parts, such as:

  • advice columns
  • sports section
  • business news

Information texts

Start with a whole-class activity. Look at a few news stories covering a range of subjects. Our session included a story about the London Marathon; one about healthy eating and a report of a T-Rex skeleton that was going to auction.

Lead a discussion. Encourage children to talk about why these subjects are interesting to people. How does the language used make the written stories seem both interesting and exciting?  

Exciting writing

Next, look at these stories in more detail. Write lists of the words children think were chosen specifically to add interest.

For example, our T-Rex story included words such as  menacing pose , and  bloodthirsty stance . Get the pupils to work in groups to write their own short news story using the title, ‘Giant, hairy creature spotted in [your location]’. Aim to make it as exciting as possible.

Each group might have a different take on the topic. You can also do this as a whole-class activity.  

Write a KS2 newspaper report

Now, working in groups of two to three, give the children an envelope containing two short news story cuttings, plus two unrelated newspaper picture cuttings.

We used stories about ‘King Charles visits Dunfermline’ and ‘Twins grow record-breaking pumpkin’, plus pictures of a squirrel and a wedding cake. 

Support the pupils to write their own short news stories combining at least two of their given cuttings.

Remind them to consider elements they’ve already covered, such as language choice, and to think about how they can combine seemingly unrelated things (such as a squirrel and King Charles’ Dunfermline visit) in a funny or unexpected way.  

Structuring writing

To help structure their stories, give children a simple framework to work with, and display it on the board.

  • headline  (title)
  • byline  (names of people writing the article)
  • location  (explains where the story takes place at the beginning of the story)
  • story  (the main part – who, what, when, why, and how
  • supporting information  (any extra facts that are relevant)

Make sure to talk about all these terms and what they mean. 

Newsreader activity

Pupils can create their own images to accompany their news stories, and then finish off the workshop with a fun newsreader activity.

Staying in their groups, ask children to pretend to be newsreaders, taking turns to read their stories to the rest of the class. Be mindful that not everyone likes to read in front of others.

For the finale, work to combine all the news stories into a class newspaper.

‘Hack’ and edit websites

As Biden’s memory issues draw attention, neurologists weigh in

Since a report released on Thursday by special counsel Robert Hur described President Joe Biden as an “elderly man with a poor memory,” there have been significant misperceptions about the cognitive changes associated with aging, neurologists say.

The report on Biden’s handling of classified documents noted that the president hadn’t remembered the exact time frame that he served as vice president and was struggling to recall the period when his late son, Beau Biden, had passed away. Biden defiantly rejected the changes in a press conference late Thursday , saying “my memory’s fine.”

There’s also been scrutiny of other recent events when the 81-year-old president mixed up names of foreign leaders .

However, neurologists say blanking on the names of acquaintances or having difficulty remembering dates from the past, especially when under stress, can simply be part of normal aging.

“If you asked me when my mother passed away, I couldn’t necessarily tell you the exact year because it was many years ago,” Dr. Paul Newhouse, clinical core leader for the Vanderbilt Alzheimer’s Disease Research Center, said.

Almost every older patient has trouble remembering people’s names, Newhouse said. 

“I think it’s by far the most universal complaint of every person as they age,” Newhouse said.

In Newhouse's experience, this type of forgetfulness doesn’t actually predict who ends up having memory disorders. Only a person’s doctor or neurologist can make that diagnosis, not outside observers, brain experts say.

Dr. Dennis Selkoe, co-director of the Ann Romney Center for Neurologic Diseases at Brigham and Women’s Hospital in Boston, agreed that forgetting names doesn’t actually provide much insight into potential memory problems. In fact, stress and a lack of sleep, can interfere with memory, no matter how old someone is.

“Naming proper nouns is not an adequate basis to make a conclusion about whether an individual has a more consistent and more concerning substantive progressive memory disorder,” Selkoe said.

What are normal memory changes?

It’s normal for older brains to have more difficulty retaining new information and then retrieving the information, but mental processes like decision-making and judgment can actually improve with age, said Dr. Thomas Wisniewski, director of NYU Langone Health’s Alzheimer’s Disease Research Center and its Center for Cognitive Neurology.

“Although the raw power of memory has some degree of decline, perhaps wisdom can increase because the individual has a greater backlog of experiences and different situations as to what is the best thing to do,” Wisniewski said.

The problem isn’t having trouble remembering names or calling someone by the wrong name, but when someone’s memory is fuzzy about recent or past experiences, said Newhouse. Issues with episodic memory — memory for events in time or if a person doesn’t remember going shopping, for example — can be a sign of a progressive disorder, but not always.

Wisniewski said he becomes concerned when people don’t even recognize that they are forgetting things.

“They forgot that they went shopping and they’re unaware that they’ve forgotten,” he said.

Overall, neurologists tend to worry less about a patient’s ability to remember remote memories from many years ago and more troubled by an inability to recall more recent events. That’s because dementia first affects the part of the brain that’s responsible for short-term memories, as opposed to long-term memories, said Newhouse.

“What I’m more concerned about is, can you remember what happened yesterday? Or an hour ago?” Newhouse said.
